For Helpdesk Staff: How do I create building room cards in Ad Astra?
Answer
The company that makes Ad Astra forced Carthage to upgrade to a new version over Summer 2020. Among the changes that the new Astra brought was removing the ability to log in as av@carthage.edu, so I'm updating the room card instructions to reflect this & other changes.
- Go to astra.carthage.edu
- You'll be redirected to https://cc-adfs-01.carthage.edu/adfs/ls/
- Sign in with your Carthage email address & password. For me, that's rlahue@carthage.edu, & my Carthage password.
- Click on "Reporting" in the bar along the top of the page.
- Click on "Reports" in the dropdown menu.
- Click on "+ Sections and Events Lists" to expand that list.
- Click on "Room Card - Selected Building".
- Make sure that "Enter Start Date:" is set to the Monday of the week in question, for example, 9/7/2020.
- Make sure that "Enter End Date:" is set to the Sunday of the next week in question, for example, 9/13/2020.
- Make sure that "Enter Building:" is set to "Hedberg Library".
- Click the "✔ Apply" button above "Enter Start Date:".
- Click the export button between the printer button & the "Find..." text box, above the "✔ Apply" button. It looks like an arrow going up & to the right out of a rectangular box.
- Make sure that "File Format" is set to "Microsoft Word (97-2003) - Editable".
- Click the "Export" button.
- Once the file is downloaded, open it in Microsoft Word.
- Click on the "Layout" tab in Microsoft Word's ribbon.
- Click on the "Orientation" button, & then click "Landscape".
- Remove the document Header:
- Double-click on the Ad Astra logo on the top of the first page. This will select the header image.
- Hit the Backspace or delete key on your keyboard to get rid of it.
- Hit the Esc/Escape key on the keyboard to get out of the document Header.
- Remove the document Footer:
- Double-click on the "Room Card - Selected Building" test on the bottom of the first page.
- Hit the Backspace or delete key on your keyboard to get rid of it.
- Hit the Esc/Escape key on the keyboard to get out of the document Footer.
- Add "Hedberg Library" to each room number:
- Click on the room number, e.g., "138". It's centered text, so it stands out pretty well.
- Type "Hedberg Library" in front of the room number, e.g., "Hedberg Library 138".
- Start each room on its own page. Do this for every room that doesn't start on its own page (e.g., Hedberg Library 138 is the first room, so it starts on its own page already):
- Click on the room number, e.g., "Hedberg Library 159". It's centered text, so it stands out pretty well.
- Use the Up arrow on your keyboard to go up one line
- Use the Command+Enter (macOS) or Control+Enter (Windows) keyboard shortcut to insert a new page.
- Save the document: Command+S (macOS) / Control+S (Windows)
- Either print (single-sided!) to the printer in the Media Services office, or email it to me (rlahue@carthage.edu) so that I can print it out. The Media Services office printer is usually out of ink, so you'll mostly be sending it to me to print.
- Take the printouts & a tape dispenser, & go around the library to hang up the new room cards & take down & recycle the old room cards.
